Overview
HUG is a knowledge and collaboration portal for teams to share lessons learned, ask questions, and track subscriptions/access. This guide walks through common user and admin workflows.
Registration
New users can register using the Registration page. During registration, you’ll provide basic information such as name, email, and company.
Steps
- Open the Registration page and fill in the required fields.
- Submit the form.
- Your account may show as Self Registered or Pending until an admin sends an invite.
Login is handled via HUG’s authentication flow. After login, HUG uses your identity to determine access and roles.
What you might see
- Invited: No — you may not have access until an admin invites you.
- Accepted: Pending — invite was sent but acceptance is not recorded yet.
- Active subscription — your access is valid within a date range.
Your Profile
Your profile typically includes your name, email, company, and optional description.
- Keep your email accurate — it is used to match identity records and roles.
- Admins may update your profile details if needed.
Lessons Learned
Lessons Learned help capture issues encountered in the field and how they were resolved. Each lesson should be written clearly so others can apply it.
Create a Lesson
- Navigate to the Lessons Learned section.
- Click Create.
- Complete required fields such as Title, Description of the Issue, Path to Resolution, and Recommendations.
- Upload supporting images if applicable (accepted file types are typically jpg/gif/png).
- Select relevant dropdown fields (Equipment, Location, Processing Breakpoint, etc.) if present.
- Submit the form.
Search and View Lessons
- Use search to find lessons by title, equipment, site/location, topic, or supplier.
- Open a lesson to read the full details and attachments.
Q&A
Q&A allows users to ask questions and receive answers from others. It’s best suited for quick technical questions, procedural clarifications, or knowledge sharing.
Ask a Question
- Go to the Q&A section.
- Click Ask a Question.
- Write a clear title and include details in the description.
- Add tags if available to improve searchability.
- You can also upload upto 3 images (accepted file types are typically jpg/gif/png).
- Submit.
Reply / Participate
- Open a question and post a reply.
- Include references (spec section, doc number, procedure step) when relevant.
- If you are unsure, state assumptions and ask clarifying questions.
- You can also upload upto 3 images (accepted file types are typically jpg/gif/png).
Subscriptions
Subscriptions determine whether a user’s access is active within a date range. Some pages/features may require an active subscription.
Subscription Statuses
| Status | Meaning |
|---|---|
| Active | Access is valid now (within start/end dates and not canceled). |
| Expired | End date is in the past; access may be restricted. |
| Canceled | Subscription was canceled; access may be restricted immediately or per policy. |
| No subscription | No subscription record exists for the user. |
Troubleshooting
I can’t access pages / I get Unauthorized
- Confirm your role allows access to the page.
- Confirm you are invited and accepted.
- Confirm you have an active subscription (if required by policy).
Invite shows “sent” but user still cannot access
- Verify the user logged in after the invite was sent.
- Verify email matches identity record (no typos, correct domain).
- Admin can refresh invites or sync with identity DB if supported.
Roles not assigning
- Role assignment may be restricted until invited+accepted are true.
- Verify the identity user exists in the external Identity system.
Support
If you need help with access, roles, or subscriptions, contact your HUG administrator or your internal support team.
Include the user email, screenshot (if possible), and the action you attempted.
